Privacy policy
How Saxon Fitness Ltd collects, uses and protects your personal information.
This policy is maintained by Saxon Fitness Ltd (company number 11292693), trading as Saxon CrossFit, Wymondham Business Centre, Unit 7, Eleven Mile Lane, Suton, NR18 9JL. We are the data controller for the personal data described below. Last updated 29 July 2026.
What we collect
- Contact details — your name, email address and phone number.
- Health information — injuries, medical conditions and other details you share so we can coach you safely. This is special category data and we only use it for your safety and programming.
- Payment information — membership and purchase details, processed by our payment providers. We do not store full card numbers.
- Photos and video — images taken in the gym, at events and at competitions, which we may use on our website and social media.
- Cookies and usage data — how you use our website, via cookies and analytics tools.
How we use it
- Booking and managing your classes and membership
- Answering your enquiries and providing customer support
- Coaching you safely and adapting sessions to your needs
- Taking payments and keeping business records
- Sending marketing emails and newsletters (you can unsubscribe at any time)
- Social media marketing, including photos and video of gym life and events
- Website analytics, so we can improve the site
We rely on contract to deliver your membership, consent for marketing, photos and non-essential cookies, explicit consent for health information, and legitimate interests to run and improve the gym.
Who we share it with
We use trusted service providers to run the gym. These include:
- TeamUp — memberships, bookings and payments
- Boxmate — workout tracking and results
- Shopify — online shop orders and payments
- Campaign Monitor — marketing emails
- Google Analytics — website analytics
- Payment providers — card and direct debit processing
We never sell your personal data. Some of these providers are based outside the UK; where that happens, transfers are covered by appropriate safeguards such as the UK International Data Transfer Agreement or Addendum.
Cookies and analytics
Our website uses cookies to keep the site working (for example remembering your shopping basket) and analytics cookies to understand how the site is used. You can block or delete cookies in your browser settings; essential cookies are needed for the shop and enquiry form to work.
How long we keep it
Enquiry and contact records are kept indefinitely so we can recognise you if you come back to us, unless you ask us to delete them — we will always honour a deletion request. Membership, payment and accounting records are kept for as long as required by law (usually six years). Health information is kept for as long as you train with us.
Photos and video
We love celebrating our members, and we regularly take photos and video in the gym for our website and social media. If you would rather not appear, tell any coach or email us and we will keep you out of shot and remove existing images where we can.
Your rights
Under UK GDPR you have the right to access your data, correct it, delete it, restrict or object to how we use it, withdraw consent at any time, and receive a copy of your data in a portable format. To exercise any of these rights, email us at bemore@saxoncrossfit.com. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
